Connecting Your WhatsApp Number
Link your WhatsApp Business number to your workspace, get its name approved, and keep an eye on its health.
What it does
Everything you send from the platform (broadcasts, inbox replies, workflows) goes out through the number you connect here. Go to Setup โ WhatsApp Accounts to connect a number, follow Meta's display name review, fill in the profile customers see, and check the number's status.
Before you start
- A Facebook login that is an admin of your brand's own Meta business portfolio (or create one in Meta's window). Not an agency's account.
- A public website on your own domain that shows your business name. A simple one-page site is enough.
- A number that is not currently active on WhatsApp, unless you choose to keep the WhatsApp Business app (see below).
- Your trade licence or registration for Meta business verification. It can follow later; until then Meta limits you to 250 new conversations a day.
Connecting a number
Depending on how your workspace is set up, you will see up to three ways to connect:
| Option | What happens |
|---|---|
| Embedded signup | You sign in with Facebook, pick your number and Meta verifies it. The number moves to the WhatsApp Business Platform, so it can no longer be used in the WhatsApp Business app. |
| Keep WhatsApp Business App | You keep chatting from the app on your phone while the workspace sends broadcasts and automations on the same number. |
| Manual provisioning | You submit the number and our team connects it for you. |
Embedded signup
- Go to Setup โ WhatsApp Accounts.
- Under Before you start, type the display name you plan to use and your brand website. The live checks flag anything Meta is likely to decline.
- Give the number a Display label (for your team only, e.g. "Sales line").
- Click Connect with Facebook and follow Meta's window. Type the display name exactly as you checked it.
- When the window closes, the number appears on the page with its status.
If the button does nothing, an ad or tracker blocker is usually stopping Meta's window from loading. Turn it off for this site and reload.
Keeping the WhatsApp Business app
Choose Keep WhatsApp Business App, then click Link WhatsApp Business App. Meta shows a QR code: scan it from WhatsApp Business App โ Settings โ Linked devices. There is no code or PIN to enter. The number then shows Business App linked, and chats from your phone appear in the workspace too. In this mode the display name is changed in the app (Settings โ Business tools โ Profile), and you unlink from Linked devices in the app.
Manual provisioning
Enter a label and the number with its country code, then click Submit number. The page shows Pending provisioning and a 6-digit Registration PIN. Keep that PIN. Once our team has provisioned the number (this can take a couple of business days), request a verification code by SMS or call on the Connection tab, enter it, then register the number with your PIN.
Your number at a glance
Each number has a header with status badges and five tabs: Overview, Display name, Business profile, Connection and Settings.
| Badge | Meaning |
|---|---|
| Connected / Paused | Whether the number is allowed to send. |
| Quality high / medium / low | Meta's rating, based on how people react to your messages. |
| 1K / 24h (or similar) | How many business-initiated conversations Meta allows per rolling 24 hours. |
| Webhook on / Webhook off | Whether incoming messages and delivery receipts are reaching you. |
The Overview tab has a Setup checklist; click any unticked item to jump to the tab that fixes it. Refresh status pulls the latest from Meta, and Activity log lists every connection event.
Display name review
Your display name is the name customers see on every message. It goes through Submitted โ Meta review โ Approved โ Live on WhatsApp.
- Open Display name and click Change display name (or Fix and resubmit if Meta declined it).
- Type the name. Live checks show what passes and what Meta is likely to reject. Suggest names proposes compliant options.
- Click Submit for review. Meta usually decides in 1 to 2 business days and you are emailed the result.
- Once approved, click Make it live and enter your 6-digit PIN within 14 days, or Meta asks for a new review.
Meta approves the brand name exactly as it appears on your website, the brand plus a region or department, or a product of the brand. It declines all capitals, emoji, web addresses, generic words, a person's name, and words like "Official". Meta allows 10 name changes per 30 days, and a declined request still counts.
Good to know
- Fill in the Business profile tab (photo, about, description, email, address, industry, website). Meta compares your display name with the website listed there.
- On Connection, if the webhook card says Not configured, click Configure webhook. Without it, incoming messages will not arrive.
- Settings holds the internal label, the default template language, a test recipient number, and the Active switch.
- A number can belong to only one workspace, and how many numbers you can connect depends on your plan.
- You can remove a number yourself only while it is unverified. To remove a verified, live number, contact support.
- If the page suggests moving the number to your brand's own Meta business, click Reconnect with Facebook. Inbox history stays; templates need resubmitting on the new account.
Get the website and the display name to match before you submit. It is the single biggest reason names get declined.
